Office Assistant – Quantum

SUMMARY:

Quantum Servicing, a leading nationwide Servicer, Asset Management and Loss Mitigation resolution provider to the mortgage industry, is seeking an Office Coordinator for our Tampa, FL office.  An entrepreneurial and fast-paced subsidiary of Rialto Capital, a premier Real Estate Investment, Asset Management, and Servicing firm, Quantum is committed to attracting, rewarding, and developing best talent in our industry to succeed in attaining our challenging operating growth objectives.

The ideal candidate will be experienced in handling a wide range of administrative related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting multiple departments.

KEY RESPONSIBILITIES:

  • Act as receptionist, answer phones and direct all incoming calls to appropriate party promptly as well as welcoming on-site visitors.
  • Responsible for performing advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skills and knowledge of the organization and its policies and practices.
  • Prepare invoices, reports, memos, letters, funding requests and other documents, using word processing, spreadsheet, database, and/or presentation software.
  • Collates and assembles materials and makes arrangements for meetings/presentations.
  • Prepare and submit expense reports.
  • Receive, sort and forward/distribute incoming mail and packages.
  • Coordinate the pick-up and delivery of mail and courier services (FedEx, UPS, USPS etc.).
  • Maintain order and cleanliness of conference rooms, supply rooms, work areas and kitchen.
  • Assist with the ordering, receiving, stocking, distribution and replenishment of office and kitchen supplies.
  • Run errands as needed.
  • Receive, consolidate, and processes requests for supplies and equipment; ensure expenditures are within allocations; maintain a system of inventory control.
  • Review and process invoices.
  • Other administrative duties as assigned by supervisor.

 

SPECIFICATIONS

  • High School Diploma and at least one (1) year of experience as administrative assistant/office assistant, OR any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
  • Strong working knowledge of Microsoft Applications: Word, Excel, Outlook and PowerPoint.
  • Exceptional written and verbal communication skills are necessary.  Excellent editing and proofreading skills.
  • Impeccable organizational, time management and multi-tasking skills, as well as attention to detail.
  • Self-starter, ability to independently resolve inquires and issues with skill and sound judgment.
  • Ability to maintain poise in a fast-paced environment and ability to work well under stressful situations.
  • Must be able to demonstrate discretion in handling highly confidential information.
  • Excellent calendar management skills, including the coordination of complex meetings.

 

Working Conditions

While performing the duties of this job, the Associate is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop. The Associate must occasionally lift and/or move up to 25 pounds. Evening and/or weekend work may be necessary to meet deadlines.
