Coordinator – CMBS REO Reporting

SUMMARY
 
The Coordinator supports the REO Reporting Team in overseeing the reporting and operational requirements of commercial property managers, ensuring compliance with pooling and servicing agreements (PSAs), applicable property management agreements, and other servicing requirements. The Coordinator collaborates closely with the Director, Vice President, and Analysts, as well as various internal teams and external service providers. This position supports a diverse portfolio of commercial real estate asset classes and requires exceptional organizational, written, and verbal communication skills. The successful candidate will be detail-oriented, self-motivated, and capable of working independently while effectively managing multiple priorities and meeting established deadlines.

KEY RESPONSIBILITIES

  • Distribute new bank account letters to master servicers and operating advisors.

  • Maintain and update REO trackers for CMBS, Signature Bank, Aflac, CLO/FSR, and Fund portfolios.

  • Coordinate the collection of financial statements and reporting packages from property managers.

  • Review financial reporting packages for completeness and follow up on missing or incomplete information.

  • Monitor certificates of insurance through EBIX and follow up on outstanding documentation.

  • Track monthly sweeps to master servicers and follow up on outstanding sweeps

  • Obtain and document asset manager approvals for financial reporting packages.

  • Maintain accurate and current insurance Statements of Values.

  • Track receivership status

  • Review watchlist assets to ensure bank accounts, insurance documentation, and property management agreements are in place before transfer to REO.

  • Request and coordinate insurance proposals from brokers.

  • Track insurance refunds and follow up on outstanding payments.

  • Process CMBS Operations and CMBS Insurance invoices through Concur.

  • Monitor expense reimbursements from property managers and follow up on outstanding amounts.

  • Prepare and document deposits related to insurance refunds and expense reimbursements.

  • Process funding requests with the master servicers to fund bank accounts.

  • Provide general operational and administrative support to the REO Reporting Team.

SPECIFICATIONS

  • Bachelor’s degree is preferred but not required.

  • 1-3 years of relevant administrative experience may be considered in lieu of a degree

  • Strong work ethic and organizational skills

  • Proficiency in Microsoft Office Excel

  • Excellent oral and written communication skills

  • Ability to work effectively in a fast-paced team environment

 
Working Conditions

While performing the duties of this job, the Associate is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop. The Associate must occasionally lift and/or move up to 25 pounds. Evening and/or weekend work may be necessary to meet deadlines.
