Legal Tax Coordinator

SUMMARY:

 

The Legal/Tax Coordinator will be responsible primarily with the management of administrative functions related to the Company’s Legal and Tax Departments.

DUTIES AND RESPONSIBILITIES: 

  • Prepare and process legal documents
  • Assist the paralegal and attorneys with entity formation and other filing requirements
  • Assist with legal entity management system implementation and maintenance
  • Assist with coordination of closings on investments
  • Prepare and track document submissions to counsel, custodians and others
  • Process for payment all Legal, Tax and Compliance Department invoices
  • Process expenses and expense reports
  • Prepare correspondence and other documents
  • Maintain tax calendar
  • Submit tax filings (either by mail or electronically)
  • Assist the tax team in various Excel projects
  • Assist the tax team in responses to notices from federal and state governments
  • Assist the tax team in preparation of forms
  • Respond to notices (by mail or phone) from federal and state governments
  • Receive, review, distribute and, where needed, log all Legal, Tax and Compliance mail
  • Manage Legal and Tax Department filing system
  • Assist the Legal, Tax and Compliance departments with projects as needed

 

JOB SPECIFICATIONS:

  • 2-4 years of administrative experience, preferably in a law firm or corporate legal department setting
  • Excellent working knowledge of Microsoft Applications: Word, Excel, Outlook, Visio and PowerPoint
  • Exceptional written and verbal communication and excellent editing and proofreading skills are required
  • Detail oriented
  • Impeccable organizational, time management and multi-tasking skills
  • Self-starter, ability to independently resolve inquires and issues with skill and sound judgment
  • Ability to maintain poise in a fast-paced environment and ability to work well under stressful situations
  • Must be able to demonstrate discretion in handling highly confidential information
  • Must be team-oriented and work well in a collaborative environment

Working Conditions

While performing the duties of this job, the Associate is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop. The Associate must occasionally lift and/or move up to 25 pounds. Evening and/or weekend work may be necessary to meet deadlines.
